When should I activate the digital answering machine?

What happens if I can't take a call? One of the features you get with a Belfabriek phone number is that of the Digital Answering Machine. This feature allows callers to leave a message. Our system sends the audio recording of this directly to your email address.

It goes without saying that you want to speak to callers in person as much as possible. But there are times when that is not possible. Instead of having to disappoint your customers and possibly missing out on a sale, the digital answering machine allows them to still submit their question.

  • After closing time

    It is a good idea to enable your digital answering machine outside office hours, such as evenings, weekends or holidays. Some customers call from a different time zone, don't know your opening hours, or even completely forget what day it is.

  • In case of large crowds

    When all your employees are busy, you can activate the call waiting function to keep callers on hold for a short period of time, e.g. a maximum of 2 minutes. If no employee is free within that waiting time, the digital answering machine offers a solution.

  • In the drop-down menu

    There are things that your callers can also pass on to you without speaking to an employee, such as cancellations or fault reports. For these, place an option in your choice menu and link it to the digital answering machine. The earlier you mention this option in the choice menu, the less likely it is that your employees will become unnecessarily busy.

A digital answering machine prevents callers from disconnecting without ever calling back. They can leave their message knowing that you will listen to it later and -if necessary- contact them.

But that does not mean that the audio recording has an unlimited shelf life. On the contrary; a customer generally expects his or her message to be at the top of your to-do list.

Therefore, do not disappoint the customer and listen to the incoming voice messages every working day. Then let the customer know what action you will take.
